About Position 

Reporting to the Vendor Manager, the person in this role will provide administrative support for managing vendor data (vendor information, contracts, costs, forecasts, bills, and related data) and related activities.   Opportunity to also work with many types of vendors (software, hardware, services, and resource suppliers, etc.).

Key Role and Responsibilities

  • Maintain updated information on current vendors and supporting documentation
    • Costs
    • Contracts, NDAs and other agreements, etc
    • Security, Compliance, Legal and Finance reviews, etc
  • Prepare presentations and dashboards/trend analysis for senior management
    • Spend to date
    • Forecasts
    • Performance
    • License, hardware and resource usage/tracking
    • Assessment  the performance of vendors against contractual obligations
  • Support vendor management processes
    • Help the staff/managers to navigate the processes
    • Support communications with vendors

Skills and Requirements

  • Strong communication/organizational skills and process driven - excellent attention to detail
  • Experience with vendor/procurement management administration (contracts, billing, coordinating vendor activities, RFP’s, etc)
  • Experience in supplier performance reporting, analysis of expenditure, cost management reporting and related budgetary activities
  • Inventory management, forecasting based on available data
  • Strong reporting skills - ability to use Excel, PowerPoint, Google Suite, Confluence, Jira and other similar business tools  (experience with data analytics tools would be a plus)
  • Stakeholder management skills
  • English and Japanese
